Summary
The Assistant to the Division Manager reports directly to CME’s Drilling Division Manager and performs a variety of administrative functions. The primary responsibilities are to assist the Division Manager with maintaining scheduled appointments, meeting project and client deadlines, assist with client submittals, maintain documentation according to CME policy, and provide administrative support to the division as needed.
Responsibilities
- Maintain schedule & calendar - organize and prioritize workload, and schedule, setup, and coordinate meetings.
- Organize training conferences, and team building functions.
- Preparation of reports, proposals, agendas, and meeting minutes using Microsoft programs such as Word and Excel.
- Proofread, peer review, and edit technical deliverables for formatting, quality control, and accuracy.
- Preparation of spreadsheets with appropriate formatting, utilizing Excel.
- Create and maintain client and project file storage, utilizing SharePoint and OneDrive.
- Perform peer review and processing of invoices, proposals, and work authorizations.
- Assist with Pre-Qualifications for Contractors and Subcontractors.
- Perform occasional reception duties: telephone reception, responding to and directing visitors, screening, and distributing phone calls, open and distribute mail, filing.
- Support and provide backup for Office Manager and Assistant Manager.
- Utilize online programs to support preparation of soil boring logs and technical deliverables.
Qualifications
- Must possess a high school diploma; associate or bachelor’s degree in business or related is preferred.
- Experience performing administrative functions in an office setting.
- High degree of proficiency in Microsoft Office programs, including Word, Excel, Outlook, SharePoint, and OneDrive.
- Experience with PDF writer software.
- Possess strong interpersonal skills and demonstrated professionalism with verbal and written communications.
- Ability to effectively proofread documents for spelling and grammar.
- Ability to maintain confidentiality with business, personnel, and payroll information.
Compensation: $25 - 32/hour
